Our customers’ data
When we manage IT systems for our customers, we may process personal information held in those systems on their behalf. In that case our customer is the data controller and we act as their data processor, under the terms of our agreement with them.
Who can see it
We do not sell or share your personal information with other organisations for their own use.
We use trusted service providers to store and process information for us, such as Microsoft (email and Microsoft 365), Cloudflare (website hosting and analytics), Zoho (remote assistance) and Anthropic (AI tools, used through our business account). They act only on our instructions, under contracts that require them to keep it confidential and secure. The information stays private to our account, and they may not use it for their own purposes, such as advertising or training their AI models.
If you message us on WhatsApp, your messages are carried by WhatsApp, which is part of Meta, under WhatsApp’s own terms and privacy policy.
We would only disclose your information to anyone else where the law requires it, for example to the police or a regulator, or to our professional advisers, such as our accountants, where needed.
Some of our service providers may process information outside the UK. Where they do, it is protected by UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, or equivalent safeguards.
How long we keep it
We keep personal information only for as long as we need it for the purposes above. Enquiries are kept for as long as needed to deal with them and any follow-up. Business, accounting and tax records are kept for six years, as the law requires. Job applications are kept for up to six months after the role is filled, unless you agree to us keeping them longer.
How we protect it
We protect personal information with the same security measures we recommend to our customers, including multi-factor authentication, encryption and access limited to the people who need it. ICT9 LTD is Cyber Essentials certified.
